Your privacy is important to us here at Freeway School of Motoring and we want you to be confident that the information you give us when using this website (www.freeway-som.co.uk) and our driver training services is safe and secure. This privacy policy explains how we comply with the General Data Protection Regulation (GDPR) and its predecessor, the Data Protection Act (DPA). It will explain how and why we use your personal information, your rights and choices with regard to these details, and explain how we take steps to keep it secure and confidential.


Information we may collect from you


We will collect information about you should you use the “Contact” page on our website and/or when you book driver training with Freeway School of Motoring via email, phone or text. We may also collect information when you voluntarily participate on our social media channels.


Your personal details may include some or all of the following, but may not be limited to, your name and title, home/work/place of study addresses, email addresses, phone numbers, date of birth, driving licence number.


Users contacting us through this website do so at their own discretion and provide any such personal details requested at their own risk. Your personal information is kept private and stored securely until a time it is no longer required or has no use.

When you visit this website we may collect information about your online browsing behaviour and any devices you have used to access our Site (including your IP address, browser type and mobile device identifiers).


We do not request and therefore do not disclose any sensitive personal data, such as race, religion, or political affiliations.


We will ask if there are any medical conditions that we ought to be aware of that may affect your ability to drive, for example, but not limited to, any medication you are taking whether prescribed by a medical practitioner or otherwise; any serious injury that may affect your ability to control the vehicle.


Why do we ask for your home, mobile phone number, and email address?

In order to contact you about an enquiry you have made.
• In order to contact you about relevant products or services that we feel may be appropriate to your learning.
• In order to contact you to confirm, amend or cancel a driving lesson appointment.
• For any other reasonable reason to do so.

Social Media Policy & Usage


Freeway School of Motoring has profiles on several social media platforms and users are advised to verify the authenticity, and ensure they are on the correct page for Freeway School of Motoring, before engaging with, or sharing information with such profiles. We will never ask for user passwords or personal details on social media platforms. We would respectfully ask that users conduct themselves appropriately when engaging with us on social media.


There may be instances where our website features social sharing buttons, which help share web content directly from web pages to respective social media platforms. You use social sharing buttons at your own discretion and accept that doing so may publish content to your social media profile feed or page.


Where we store your personal data


The data collected from you for use by us, will be stored by us within the European Economic Area (EEA). Information collected by our service providers may be transferred to, and stored at, a destination outside the EEA. Your data may be processed by staff operating outside the EEA who work for one of these third party service providers. By submitting your personal data, you agree to this transfer, storing and/or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy. If you choose to use our service while you are outside the EEA, your personal data may be transferred outside the EEA in order to provide you with these services.


Uses made of the information you provide


We collect information about you to help advise you about the range of options available regarding the product/service we provide and in order to process the booking of training sessions. We also use the information to keep you informed of latest availability via a range of contact methods.


We respect your personal information and do not share your information with 3rd parties other than to provide you with services appropriate to driver training. These may include theory test services, online e-learning modules provided by the local road safety authority, and the DVSA (for the purpose of booking your practical driving test).


Client information is held in both paper and electronic formats. This may consist of some or all of the following pieces of information: name, postal address, email address, driving licence number, mobile or landline phone numbers, and DVLA licence check details.


Electronic information is held on a password protected computer, which is stored securely and has internet security, anti-virus and malware software regularly updated; information is also held on mobile phone, which is also securely protected.  


Client information including, but not limited to, records of payment made and lessons taken, will be retained for no more than 7 years to comply with HMRC taxation and audit requirements.


If you opt to use a payment card to pay for services, Freeway School of Motoring will process the relevant information you provide for this transaction using Worldpay UK. No sensitive card information is recorded or stored by Freeway School of Motoring.


After 7 years, all electronic and paper information is deleted and/or destroyed by means of shredding.


If, after 6 months from your initial enquiry, you have not made a booking in that period we will delete your data.

Data Protection - Dash Cam Use


Freeway School of Motoring uses outward facing dash cams in the windscreens of the tuition vehicle. There is no internal view of the vehicle and no audio recording.


The cameras are used exclusively for the safety and security of the occupants of the tuition vehicle.  


Video footage of any incident captured via the dash cams is retained, away from the vehicle, for a maximum period of twelve months. Should it be required in the event of a claim being made or legal action being pursued, the video footage may be provided to either the Police or to an insurance company to establish liability in the event of such an incident.  


Disclosure of your information


We will not share your details with any third parties except in the following instances:



Marketing


Freeway School of Motoring does not send out any emails, texts or calls for the purpose of marketing unless permission has been provided to allow us to do so.


Upon successfully passing your driving test, Freeway School of Motoring will ask if you will consent to your image to be photographed and used on its social media channels. If you do not wish to do so then this will be adhered to. By agreeing to having your photograph taken, you consent for this image to be used on such channels as, but not limited to, Facebook and Twitter.


Security


Freeway School of Motoring is registered as the trading name of the data controller with the Information Commissioner’s Office, under the following registration number: ZA350601.


The submission of information via the Internet or email cannot be taken for granted as being completely secure. Whilst we at Freeway School of Motoring will do our best to protect your personal data, its security cannot be guaranteed whilst transmitting it to our website and any such submission is at your own risk. 


Where passwords have been issued for you to access third party sites such as online e-learning modules or online theory test software, you are responsible for keeping this password confidential. Should you opt to change this, you should choose a password which is not easy for someone to guess. Passwords cannot be reset by Freeway School of Motoring for these third party services.


If you choose to follow any of the links to third party websites featured on our website, these websites will more than likely have their own privacy policies, which you should check if you wish to continue using them. We do not accept any responsibility or liability for their policies as they are out of the control of Freeway School of Motoring. Although we aim to only include external links to content that is relevant to driver training, we would advise that users adopt a policy of caution before clicking any external web links mentioned throughout this website. We cannot guarantee or verify the contents of any externally linked website. Users should therefore note they follow an external link at their own risk and we cannot be held liable for any damages or implications caused by visiting any external links mentioned. Children’s Privacy


Freeway School of Motoring, due to the nature of its business, does not knowingly collect personal information from persons under the age of 13. If such information is submitted and subsequently identified, we will delete that information from our records immediately. If you are under 13 years of age and you would like to use this website in a way which involves submitting your personal information, please ask your parent or guardian to do so on your behalf.


Protection


Freeway School of Motoring is registered with the Information Commissioner’s Office, in compliance with the revised GDPR EU laws on Data Protection, effective 25th May 2018. Registration date was 26th April 2018.


Your information rights and responsibilities


You already have certain rights under existing data protection legislation, including a right to request, in writing, a copy of the personal information we hold on you. From 25 May 2018, the GDPR will give you the following rights:


Subject Access Requests


Under both DPA and GDPR legislation, you have the right to access information held about you by us. You can also request to have all the personal data we hold about you deleted in full. Please write to us or contact us by email if you wish to request confirmation of what personal information we may hold relating to you, or if you wish this information to be deleted. Contact details are below. There is no charge for submitting this Subject Access Request. We will provide and/or delete this information within one month of your request.


Please refer to the information you wish to see, giving dates if and where possible. We will not process any Subject Access Requests made by a third party, unless it arrives with the written authority of the person who is the subject of the request.
